ChairCall Privacy Policy

1. Introduction
Welcome to ChairCall, a scheduling and business management software platform developed and operated by Vantage Up, LLC d/b/a ChairCall (“Company,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, mobile application, and related software services (collectively, the “Platform”).
This policy applies to two distinct types of users:
- Professionals: Independent business owners and service providers who subscribe to ChairCall to manage their business.
- End-Clients: Individuals who use the Platform to book appointments with Professionals.
For information about End-Clients, the Professional you book with decides what booking information is collected and how it is used for their business; ChairCall processes that information on the Professional's behalf to operate the Platform. For information about Professionals, ChairCall is responsible for the collection and use described in this policy.
2. Information We Collect
We collect information that identifies, relates to, or could reasonably be linked to you (“Personal Information”). The data we collect depends on how you interact with the Platform:
A. From Professionals
- Account Information: Name, email address, phone number, and business details.
- Financial Information: Payment card details and banking information to process your SaaS subscription and facilitate Stripe Connect onboarding.
- User-Generated Content: Media you upload, including profile pictures, service menus, and “before and after” portfolio photos.
B. From End-Clients
- Booking Information: Name, phone number, email address, and appointment details.
- Payment Information: Payment card details required to secure or pay for a booking (processed directly by our third-party payment processor, Stripe).
3. How We Use Your Information
We use the collected information for the following business purposes:
- To provide, operate, and maintain the ChairCall platform.
- To facilitate appointment bookings and process payments between End-Clients and Professionals.
- To send transactional notifications, including appointment confirmations, reminders, and receipts.
- To provide customer support and respond to inquiries.
- To maintain the safety, security, and integrity of our software.
4. SMS Communications and Mobile Data
To facilitate appointment reminders and critical alerts, ChairCall utilizes SMS messaging. By providing your phone number, you consent to receive transactional text messages from Vantage Up, LLC d/b/a ChairCall and the specific Professional you booked with.
- Opt-Out: You may opt out of receiving SMS messages at any time by replying “STOP” to any message. Reply “HELP” for assistance.
- Rates: Standard message and data rates may apply. Message frequency varies based on your appointment activity.
Mobile data sharing restrictions. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of data sharing exclude text messaging originator opt-in data and consent; this mobile opt-in information will not be shared with any third parties under any circumstances.
5. How We Share Your Information
We do not sell your Personal Information. We only share information with third parties in the following limited circumstances:
- Between Users: We share End-Client booking details (name, phone number, appointment time) with the specific Professional the End-Client booked with.
- Service Providers: We share data with trusted third-party vendors who assist us in operating our platform, including our payment processor (Stripe), our SMS routing provider (Twilio), and our cloud hosting provider (Google Cloud). These providers are contractually obligated to protect your data and may only use it to provide their designated services.
- Legal Compliance: We may disclose your information if required to do so by law, in response to a subpoena, or to protect the rights, property, and safety of Vantage Up, LLC d/b/a ChairCall, our users, or others.
6. User-Generated Media and Photos
Professionals may upload media, such as “before and after” photos of services. Professionals are strictly responsible for obtaining documented, explicit consent from any End-Client depicted in these photos before uploading them to the Platform. If an End-Client wishes to have a photo of themselves removed from a Professional's profile, they must contact the Professional directly.
7. Cookies
The Platform uses only essential cookies and similar technologies required for authentication, security, and session management — for example, keeping a Professional signed in to their account. We do not use advertising cookies and we do not engage in cross-site tracking.
8. Children's Privacy
The Platform is not directed at children under the age of 13, and we do not knowingly collect Personal Information from children under 13. Appointments for minors must be booked by a parent or legal guardian using the parent or guardian's own contact information. If you believe a child under 13 has provided us with Personal Information, please contact us at [email protected] and we will delete it.
9. Data Security and Retention
We implement industry-standard administrative, technical, and physical security measures to protect your Personal Information. We retain data only for as long as necessary to fulfill the purposes outlined in this policy or as legally required.
10. Your Privacy Rights
Depending on your location, you may have the right to request access to, correction of, or deletion of your Personal Information. To exercise these rights, or if you have questions regarding this policy, please contact us at [email protected]. If your request concerns booking information held for a specific Professional's business, we may direct your request to that Professional or coordinate with them to fulfill it.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by updating the “Effective date” at the top of this policy and providing a notice within the Platform.
